Reading Naturist Group - Privacy Policy

This privacy policy sets out how the Reading Naturist Group (RNG) uses and protects any information that you give RNG when you become a member, visit a swim or use this website.

For the purposes of this policy:
       “members” means paid up members of the group
       “visitors” means visitors to the swim
       “users” refers to this anyone who uses this website



Personal Data and the Reading Naturist Group (RNG)

An individual’s confidentiality is protected by the Data Protection Act and, from 25th May 2018, the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) and the Privacy and Electronic Communications Regulations 2016 (PECR). Personal information supplied by members to the RNG will be kept on file and stored securely.

Member and Visitor Data

The Membership Application / Renewal Form and Visitor Temporary Membership Form request some personal data and the applicant’s preferred means of communication.

This data includes, name, address, post code, BN number, telephone number (optional), and email address (optional). All information obtained from members and visitors will be used solely for the purposes of administering the membership of RNG. This data will be stored securely.

All paper and electronic records held will be deleted upon resignation, or if not renewing twelve months after expiration of membership. All paper and electronic records held for visitors will be deleted twelve months after issue of the Visitor Temporary Membership Form.

At any time a member or visitor my request that all data held for them be deleted from RNG records by making a written request, subject to proof of identity, from the RNG secretary. Club members making this request shall be deemed to have resigned from the club.

Photographs

Photographs sent to RNG for inclusion on membership cards remain the copyright of the owner but the owner grants a licence to RNG in perpetuity to publish, retain and grant licence to them providing this is lawful and within current regulations.

Access to Data

The RNG will not share members’ information with any other company or organisation, without the explicit permission of individual members, unless required to do so by law.

Members have the right to access a copy of the information the RNG holds about them (a subject access request) obtainable, subject to proof of identity, from the RNG secretary.

Members have a right to object to the ICO (Information Commissioners Office) if they feel that the RNG is not handling their data in a satisfactory manner.

Communication

Members and visitors provide their formal consent to receive communications either by email, telephone or by hard copy through the post by submitting the relevant contact details on their Membership Application / Renewal Form or Visitor Temporary Membership Form. Emails will not show recipients email addresses through the use of blind copy in the address book.

Cookie policy: Cookies are small text files that your browser stores on your computer. The RNG website does not store cookies on your computer at present. This is subject to change. If the club does change this policy, this page will be updated and members of the club will be informed.

The RNG website uses Statcounter in order to collect data on site usage. This enables RNG to monitor how many visits to the site we receive per month, how the website was found (Google, Yahoo, Bing etc) and which pages on the site the users look at. This is useful to ensure the website is being used as we intended. Statcounter DOES put a cookie on your PC in order to establish if this is a first visit or a returning visit and similar information. No personally identifiable information is gathered by Statcounter. Statcounter also maintains a strict "no-spam" policy. Statcounter does not use cookies for marketing purposes.

Contact via the website: the RNG is committed to ensuring that your privacy is protected. If you provide us with your name, email address or other details it will only be used by the RNG for the purpose of acting upon your inquiry, comment or the information you provide. It will not be shared with third party organisations outside the RNG. A record may be kept of your inquiry, suggestion or comment and used to make improvements to our organisation or the information that we publish.
